Overview

At Miqaat India, we understand that plans can change and that circumstances around Umrah travel can sometimes be beyond your control. This policy outlines how we handle cancellations, refunds, and changes to bookings made through us. We encourage all pilgrims to read this carefully before confirming any booking.


Booking Confirmation

A booking is considered confirmed only after:

  • A signed booking form has been submitted
  • The required deposit or full payment has been received
  • A written confirmation has been issued by Miqaat India

Verbal agreements or WhatsApp discussions alone do not constitute a confirmed booking.


Cancellation by the Pilgrim

If you need to cancel your booking, please inform us in writing as soon as possible. Cancellation charges are applied based on how far in advance you cancel:

  • More than 60 days before departure: Full refund of the amount paid, minus any non-recoverable costs already paid to hotels, airlines, or Saudi operators on your behalf
  • 30 to 60 days before departure: 50% of the total package cost is retained as a cancellation fee
  • 15 to 30 days before departure: 75% of the total package cost is retained as a cancellation fee
  • Less than 15 days before departure: No refund is applicable

Please note that visa fees, insurance charges, and any government levies are non-refundable once the application has been submitted, regardless of the cancellation date.


Non-Recoverable Costs

Certain costs paid to third parties cannot be recovered by Miqaat India once committed. These include:

  • Umrah visa fees
  • Mandatory travel insurance premiums
  • Hotel deposits or pre-paid accommodation in Makkah or Madinah
  • Confirmed airline tickets or group flight bookings
  • Saudi ground transport pre-bookings

Where any of these costs have already been paid on your behalf, they will be deducted from any refund due to you, even if the cancellation falls within the full-refund window.


Cancellation Due to Visa Rejection

If your Umrah visa application is rejected by the Saudi authorities despite all documents being correctly submitted, we will make every effort to recover applicable costs from the operators. However, visa fees and processing charges are non-refundable. Any recoverable hotel or transport amounts will be refunded to you after deducting our processing fee.

We strongly recommend ensuring all your documents are accurate and complete before submission to minimise the risk of rejection.


Cancellation by Miqaat India

In rare circumstances, Miqaat India may need to cancel or significantly alter a package due to reasons outside our control. These include:

  • Changes in Saudi government regulations or entry restrictions
  • Natural disasters, civil unrest, or public health emergencies
  • Minimum group size not being met for group packages

In such cases, we will offer you one of the following:

  • A full refund of all recoverable amounts paid
  • An alternative travel date of equal or comparable value
  • A credit toward a future booking

We will notify you as early as possible and work with you to find the best solution.


Changes to Your Booking

If you wish to change your travel dates, hotel category, or room type after confirmation, we will do our best to accommodate the request. Any difference in cost due to the change will be charged or refunded accordingly. Changes are subject to availability and may attract an administration fee.

Changes requested less than 30 days before departure may not always be possible and will be treated as a cancellation and rebooking in some cases.


Refund Process

Approved refunds will be processed within 14 to 21 working days of the cancellation being confirmed in writing. Refunds will be made to the original payment method where possible. We are not responsible for any delays caused by banks or payment processors.


Force Majeure

Miqaat India will not be held liable for cancellations or losses arising from circumstances beyond our reasonable control, including but not limited to acts of God, war, government-imposed travel bans, pandemics, or actions of the Saudi Ministry of Hajj and Umrah. In such cases, we will work in good faith to recover whatever costs are possible on your behalf.
